About us
smicro GmbH is a German Company based in Mainz best known for the smicroSuite. The smicroSuite is a digital blended learning support tool that enables you as a participant in training courses to access supplementary information and make notes during instructor-led training and provides digital support across the entire learning process. The smicroSuite is also a sales support element that can be used in different contexts to train and inform sales employees about a company’s products, as well as products offered by competitors. In addition, the smicroSuite provides support for organising and carrying out events within the framework of instructor-led training sessions.
This support ticketing platform is powered by OSTicket but hosted by smicro GmbH on Servers of Amazon Web Services („AWS“) from Amazon Web Services, Inc. (see external services).
Information about the collection of personal data
In the following paragraphs, we have provided information about how personal data is collected when our website is used. Personal data refers to all data that is related to you personally, such as your name, address, email addresses and user behaviour.
The “controller” according to Art. 4 (7) of the General Data Protection Regulation (GDPR) is SMICRO GmbH (AG Mainz HRB 47996) based in Mainz, Lauterenstr. 37, 55116Mainz, Germany.
When you contact us via email or via a contact form, the data communicated by you (your email address, your name, etc.) is stored by us in order to answer your questions. We erase the data collected in this context as soon as it is no longer necessary to store it, or we restrict the processing of this data in the event that legal data retention obligations apply.
If we use contracted service providers for some of the features in our offering or if we would like to use your data for promotional purposes, we will explain the relevant processes in detail below. In this case, we will also name the defined criteria for the storage duration.
Purpose and legal basis of the data processing and the use of personal data
We use this ticket system in order to streamline requests from customers, users of our software or otherwise sent emails or contact details, for example from our website's contact form. Each request in documented in a ticket and the system helps us distribute it internally for most efficient and quick processing. The content of your requests as well as your replies regarding the issue will be stored for internal purpose mentioned above.
Use of personal data
Personal data will be used by SMICRO. SMICRO will never disclose personal data, with the exception of data that needs to be passed on within the context of the contractual agreement with the company that sent you in order to fulfil these contractual purposes. Personal messages to us will be treated confidentially and not passed on – provided that there are no legal or statutory obligations that require us to do so.
Access to personal data, including access to information, updating, correction or deletion
The recipients of personal data can only access the part of the data that is required in order to provide the relevant service. You can request information about your saved personal data, and under certain conditions, you can request that your data be corrected or deleted. You still have a right to limit the processing of your data, as well as a right to receive the data provided by you in a structured, standard and machine-readable format.

You have the following rights against us with regard to your personal data:

Length of data storage
We delete your personal data as soon as it is no longer required for the purposes described above, unless it is still necessary to store this on a temporary basis. For example, retention of the data could be necessary due to legal and declaration obligations, such as those set out in the German Commercial Code and the Tax Code. In addition, we keep your details for as long as claims can be lodged against our company.
Cookie data
We also use so-called “cookies” or similar technological tools to record log data. Cookies are small text files that are sent from the user’s computer each time they visit our website. In terms of cookies and other similar technological tools, we use session cookies (which are deleted when the browser is closed) or permanent cookies (which are stored until they are deleted by the user or the browser).
External services
For database and content hosting, SMICRO uses services of Amazon Web Services („AWS“) from Amazon Web Services, Inc., P.O. Box 81226, Seattle, WA 98108-1226, USA. All data is being stored on servers located in Germany (Frankfurt/Main), which are ISO 27001, 27017 and 2018, as well as PCI DSS Level 1 and TISAX certified.

SMICRO uses OSTicket for electronic data processing to handle your requests and messages. The personal data transmitted is collected, stored and processed for the purpose of handling your enquiries and communications and in compliance with data protection regulations. OsTicket is a widely used ticketing system that is trusted by many users, including us. It seamlessly transfers requests received by email or web form into an easy-to-use, multi-user, web-based customer support platform. This allows us to provide you with optimal support and process your enquiries as quickly as possible.
